Opportunity: Graduate Assistant, Buffett Institute

Position Summary:
The Buffett Institute for Global Studies is seeking two (2) proactive self-starters with excellent organizational and communication skills, as well as an interest in acquiring additional administrative abilities. The Graduate Assistants will primarily support the Buffett Institute’s programmatic efforts through a broad variety of administrative processes and activities, from event coordination and logistics to communication and record-keeping. Candidates with scholarly interests and expertise in global studies are especially encouraged to apply, since the positions will offer opportunities to engage with esteemed scholars.
The candidates must be quick learners who are organized, detail-oriented, and able to set priorities and adhere to deadlines. They will have some experience in event planning and execution but can expect to develop further skills through trainings with Buffett staff. All GAs must attend an orientation in order to learn Buffett expectations, procedures, and regulations.
Specific Responsibilities:
  • Work with Buffett leadership to plan events, including but not limited to: speaker series, colloquia, workshops, performances, film screenings, and conferences
  • Coordinate and execute all events logistics, including venue reservations, catering, A/V, and communications
  • Monitor progress on critical deadlines: invitations, venue and catering reservations, receipt of speaker information, finalization of agenda, etc.
  • Be in attendance during events to ensure smooth operations
  • Evaluate event results to inform future planning
  • Ensure compliance with Northwestern and Buffett Institute policies and procedures
  • Compile list of publications (and their abstracts) by Buffett affiliates
  • Update database of Buffett graduate student alumni
Minimum Qualifications:
  • Must be doctoral students in years 2-6 of their doctoral programs (preferably in years 2 or 3)
  • Project management and communication skills
  • Ability to prioritize tasks and meet deadlines
  • Organized and detail-oriented multi-tasker
  • Interest in gaining experience in administrative capacities
  • Willingness to learn new systems and processes, including Buffett expectations, procedures, and regulations
Preferred Qualifications:
  • Familiarity with the Buffett Institute
  • Prior experience in event planning and coordination
Learning Objectives:
  • Gain holistic experience in planning and executing academic programming
  • Learn key administrative processes and technologies
  • Develop insight into how to market academic events and manage event logistics
  • Enhance communications skills through regular engagement with faculty and visitors 
Each Graduate Assistant will earn $4,000 (roughly $444/month) and can expect to work on average around six hours/week over nine months. Depending upon the time of year and the nature of the work, some weeks will require less time and others more time.
