Upcoming Financial Aid Processing Deadlines for Spring 2017

Academic programs that would like their students to be paid for Spring 2017 at the end of March must meet the deadlines below.

February 5, 2017

A $200 late fee is applied to a student’s account when the balance due is in excess of $500.

February 10, 2017

Students’ invoices generated
Please remind students to review and pay any outstanding balance for which they are responsible; funded students should notify you if their tuition has not been paid for fall.

February 20, 2017

Spring quarter registration begins

February 27-March 1, 2017

Versant test administered

February 28, 2017

Dual career and non-degree spreadsheet due for Spring quarter
With the implementation of the Smart Pages, you are unable to complete data entry for students who are in dual careers or a non-degree program. Please submit the dual career/non-degree spreadsheet with the required information, so that TGS financial aid staff can complete this data entry. 

Funding entry for stipend awards from TGS managed funds due for Spring quarter. (These are item types that begin with 61 and include only words in the description.)
When entering stipend awards with item types in which the description is words, TGS processes the changes in myHR. Therefore, if you make any additions, reductions and/or cancellations to such awards, notify TGS Financial Aid, indicating the student’s name and ID in the subject line.

March 9, 2017

Students should register by 5 PM to be billed for Spring quarter on March 10.
We strongly encourage departments and programs to contact their students to ensure Spring quarter registration is complete by 5 pm on Thursday, March 9. They will be paid their Spring quarter stipend on time provided all deadlines in this timeline are met. 
Entry of Spring quarter tuition funding due
If funding is not entered by this date, students will be charged tuition, but their invoices will not reflect their scholarship funding and will show a balance due for tuition.

Paper position/appointment forms for March pay due to Payroll Office
Please complete paper position/appointment forms for any additions, reductions and/or cancellations of stipend awards with item types in which the description includes the chart string. Paper forms must be submitted by Payroll’s stated deadline of March 13 in order for the student to be paid on March 31. The interface on September 14, 2016 only transmitted stipend awards that began on September 1st and were continuous on the same chart string at the same pay rate.

March 24, 2017

Registration Deadline to Prevent FICA Withholding
Please remind your TGS students who are scheduled to receive pay on March 31 that they must register for Spring quarter by 5 PM on March 24 to avoid having Social Security/Medicare tax (FICA) deducted. Only students who are being funded entirely or partially as graduate, teaching and research assistants are subject to FICA.
